  1. What is a Secure Video Conference Room?

    This is the “virtual” conference room where people collaborate together for a meeting. Using the Secure Video Conference tools along with video and audio this room allows participants to join the meeting from their own computer.

  2. Who “Hosts” a meeting?

    The meeting “Host” controls everything for an online meeting, from any location including:
    1. Setting up a meeting and inviting guests.
    2. Starting and running a meeting.
    3. Controlling all aspects of the meeting of those that attend.

  3. Who is the “Guest”?

    After receiving an invitation for a meeting, guests can log-in and participate in the conference using the password supplied by the host.

  4. Where is my Secure Video Conference room hosted?

    Secure Video Conference hosts your account on redundant secured servers. All hosts, guests and virtual Secure Video Conference sessions are controlled and secured from this location with virtually unlimited bandwidth. Read more about our Security

  5. Does Secure Video Conference offer a HIPAA Business Associate Contract?

    Yes! If you are in the health profession and are required to be HIPAA Compliant, we are happy to provide you with a Business Associate Contract. You can download the contract to review and fill out. Please sign and fax the entire form to 1-403-335-2085. We will review, sign and fax a copy back to you.

    NOTE: The agreement is only valid once both parties have signed.

  6. What does it mean to meet in a conference room using a computer?

    A online conference room is a virtual meeting room where people collaborate using software that is running on a secure host computer. It is also referred to as web conferencing, meeting online or virtual meetings. The visual connection when available it is called a video conference. Secure Video Conference ™ is used by professionals, who want their discussions to be confidential. When a large group are in an online meeting at the same time it’s often referred to as a webinar.

  7. Does each person invited to a meeting room have to pay?

    No. Guests that are invited to the host’s meeting room pay nothing!

  8. How often can the host have meetings?

    Subscribers to Secure Video Conference may host unlimited meetings within their account.

  9. How many people can be in the same meeting?

    The maximum number of people a host can have in their meeting room is limited only by the number of seats purchased and the capacity of your internet connection. For example, a 10 seat subscriber account will allow the host to meet with up to 10 guests at the same time. A 100 seat subscriber would be for the host and up to 100 guests.

  10. Are participants required to use the telephone to talk hear the audio in the meeting?

    No. SVC uses free VoIP (Voice over Internet Protocol). Everyone in the conference will enjoy clear audio sound, especially if a USB headset with microphone is used. For meetings such as presentations, the use of the computer speakers is adequate.

  11. Can meetings be held with people anywhere world?

    Yes. As long as everyone has a high speed internet connection.

  12. How do subscribers access their Secure Video Conference ™ host account?

    Using the login link and password sent via email from SVC, the host logs into the administration panel and schedules meetings. (Passwords are case sensitive). Setup is easy using the audio/video wizard that lead through the setup.

  13. How do I invite a guest’s into my conference room?

    Under the Meeting Room Setup menu click on Invite Guest. Fill in their email and if desired add a brief message. Select the number of days the login link passwords will be valid and send the invitation(s). Your guests will receive a system generated email with a link and their unique password. Your guest(s) can join the meeting by clicking on the microphone and web cam buttons at the bottom.

  14. Are Mac computers compatible with SVC?

    Yes. This platform is compatible with Mac computers.

  15. How can I protect my meeting room privacy as a host?

    Meeting room privacy is protected in several ways.
    1. Participant are required to manually enter the required login information to enter a meeting.
    2. The number of seats in your room determines the number of participants that can attend.
    3. The host can lock the meeting room so no one else can join.
    4. The host can see the guest’s name as they logged in and can dismiss unwanted logins.

  16. Does Secure Video Conference ™ meet HIPAA standards?

    Secure Video Conference ™ has encrypted, 256 Bit SSL (Secure Socket Layer) security level. This meets or exceeds HIPAA (Health Insurance Portability and Accountability Act) requirements. For Health professionals required to be HIPAA compliant, SVC is able to sign a HIPAA Business Associate Contract to meet all requirements.
    SVC operates from the highest secure servers, is password protected for both host and guests and has Account and Meeting Room Authentication. Each room has a locking feature to prevent unexpected entry and has time limits for the guest’s passwords. All are designed for the security and confidentiality issues that a professional practice requires.
    Unlike peer-to-peer meeting room programs, the Secure Video Conference ™, ISP (Internet Service Providers) addresses are not transmitted to others in the meeting. This is a significant advantage when it comes to the security of your computer and web meeting.

  17. How are computers protected from viruses while in a meeting?

    Everyone in the web meeting room is connected through our secure, virus protected servers.

  18. What are the minimum system requirements to use Secure Video Conference ™?

    Below is information on the minimum and suggested system requirements when using the web meeting room.
    - Screen Resolution: 1024×768
    - Internet Connection: 75 Kbps, Broadband Cable or DSL
    - PC or Mac connected to the internet
    - the latest version of Adobe Flash
    - Speakers to listen to a meeting
    - Microphone (USB headset is best) to talk in a meeting
    - Basic video cam to to participate in a video conference
    Note: For best results a high speed internet connection is recommended.
    If you have a security/firewall system installed, please be sure to white list your Secure Video Conference room URL

    There are many variables that affect bandwidth, however here is a basic example: Bandwidth upload speed of approximately 500kbps should be sufficient to broadcast at 320×240 on the High Resolution setting.

  19. Can you recommend a good place to purchase a headset and webcam?

    A good headset with mic will provide great sound quality and make long meetings more comfortable. A suitable headset can be purchased from any computer store or online at sites like Amazon.com. It is recommended to invest in an above average headset for better sound quality and background noise suppression. USB headsets offer plug and play installation and will provide superior sound and audio. Webcams with mics also provide video and sound and can be used in place of a headset.

  20. Is a broadband internet connection required to use Secure Video Conference ™?

    DSL or Cable is recommended but not required to participate in a meeting. The minimum Internet connection required to play smooth, clear audio is 28.8 Kbps. This is typically a dial-up internet service. If your connection is near this speed and other programs are running such as email program or a messenger programs, the audio may break up slightly when the rooms load.

  21. I am not receiving my registration and other emails. Why?

    This is likely due to your ISP (Internet Service Provider) and Email Filters, if you do not receive the Secure Video Conference ™ email, look in your Spam, Junk Mail, or Deleted Items folder. Make sure you let your filter know that email communications from Secure Video Conference ™ is safe to receive.

  22. What can I do if I have audio breakup?

    Start by selecting the Audio/Video Wizard and follow the detailed instructions and prompts. If audio breakup continues make sure you have no other Audio/Video, Email, Appointment Manager, Browser, or other application running in the background.

  23. Is talking in the conference room like using a walkie-talkie?

    No. This is a full duplex system that allows you to talk like you do on the phone. People can talk over each other so that is why the courtesy rule is best. “Let the other person finish what they are saying before you speak up”. This will allow the slight delay that comes with a VoIP (Internet Phone) system, not interfere with smooth conversations.

  24. What forms of payment are accepted for room subscriptions?

    We accept all major credit cards and PayPal. Funds are in USD $.
